Primary Purpose:
Maintain accurate attendance records for the campus. Under close supervision, perform data entry including attendance, Public Education Information Management System (PEIMS) data, and grades. Ensure efficient operation of the school administrative office and provide clerical services for the school’s administrative staff.
Qualifications:
Education/Certification:
High school diploma or GED
Special Knowledge/Skills:
Ability to use software to develop spreadsheets and databases, and do word processing
Proficient in keyboarding, 10-key numerical data entry, and file maintenance
Ability to meet established deadlines
Ability to maintain accurate and auditable records
Ability to perform a variety of tasks often changing assignments on short notice
Effective organizational, communication, and interpersonal skills
Ability to maintain emotional control under stress
Experience:
1-3 years of data entry, and secretarial experience
Major Responsibilities and Duties:
Records and Reports
- Collect and enter attendance and PEIMS data into the established database and verify accuracy according to prescribed procedures.
- Maintain student records and process requests for student information and transcripts.
- Assist parents, students, and faculty with questions regarding student attendance.
- Contact parents/guardians to verify student absences as needed and report attendance problems to the designated administrator.
- Compile, maintain, file, and distribute all reports, records, and other documents as required following established procedures.
- Prepare campus communications, correspondence, forms, manuals, reports, purchase orders, and payment authorizations following district standards and requirements. Prepare instructional materials as
- Maintain a daily teacher attendance log and records for substitute teachers. Monitor and process time records including leave requests and reports. Compile information and submit to the central office according to established procedures and
Reception and Phones:
- Receive incoming calls, take reliable messages, and route them to appropriate staff.
- Assist students, teachers, and parents as needed.
- Schedule meetings and appointments and maintain a calendar for the Assistant Principal.
Other:
- Prepare and make cash deposits for activity account(s). May be responsible for
maintenance of activity check register(s) and ledger(s).
- Assist with campus budget preparation and maintain accurate records of expenditures.
Prepare and process purchase orders and receive, store, and issue supplies and equipment.
- Maintain inventory of fixed assets, equipment, and supplies.
- Assist in the campus office as needed.
